Privacy Policy

We may collect personal information such as your name, phone number, and email address when you register for lessons, sign up for notifications, or interact with our website.

How We Use Your Information

  • To send lesson reminders and important updates via SMS.
  • To respond to inquiries and provide customer support.
  • To improve our services and website functionality.

Text Messaging (SMS)

By providing your phone number, you consent to receive automated text messages from Knoxville Academy of Music for lesson reminders and updates. Message and data rates may apply. You may opt out anytime by replying STOP or contacting us. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Terms of Service

By using our website and services, you agree to the following terms:

  • You agree to use our services for lawful purposes only.
  • You may not misuse or redistribute any content from our website without permission.

Changes to this Policy

We may update this Privacy & Terms page from time to time. Continued use of our services after changes constitutes your acceptance of the new terms.

Enrollment Policies

Effective September 21, 2025

These policies replace all prior versions. Continued enrollment after this date constitutes acceptance.

These Enrollment Policies apply to all students of Knoxville Academy of Music (KAM). Enrollment in KAM lessons constitutes acceptance of these policies.

Lesson Year & Scheduling

  • Lessons are taught year-round and based on a 48-lesson year.
  • Most months include 4 lessons, though some may include 3 or 5.
  • KAM may provide a qualified substitute instructor as needed. Substitution does not entitle the student to a refund.

Tuition, Fees, and Billing

  • Full monthly tuition is billed on the 1st of each month.
  • Split plan tuition is billed on the 1st and 15th of each month.
  • One-time Enrollment Fee: $75 at registration.
  • Annual Administrative Fee: $50 per year, covering scheduling systems, student portal access, reminders, recital coordination, and administrative support.
    • Applies only to students enrolled on or after July 1, 2025.
    • Students enrolled prior to July 1, 2025 are permanently exempt.
  • Late Fees:
    • $25 if a monthly tuition payment is not paid in full by the 3rd.
    • $15 if a split tuition installment is not paid by the 3rd or 16th.
  • Returned/Declined/Chargeback Payments: $25 plus any third-party processor fees.
  • Recital/Event Fees: Charged separately and disclosed in advance.
  • Books/Materials: Purchased separately.
  • Rates are reviewed annually, with 30 days’ notice before any increase.

Scheduling & Absences

Student-initiated absences are non-refundable. Makeup lessons may be offered at KAM’s discretion. If KAM cancels a lesson, a credit or rescheduled lesson will be provided.

Recitals & Events

Recital and group event participation is optional unless otherwise stated. Fees may apply.

Media & Recordings

Lessons may be recorded for educational and administrative purposes. Group recitals may be photographed or recorded for Academy use. Families may opt out of promotional use by notifying KAM in writing. Recordings will never be sold or disclosed to third parties.

Liability & Assumption of Risk

Students (or parents/guardians for minors) acknowledge the risks of lessons, rehearsals, and recitals. Families release KAM from liability for ordinary accidents, but not for gross negligence or willful misconduct. Families authorize KAM to obtain emergency medical treatment if necessary.

Continuous Enrollment & Cancellation

  • Enrollment continues month-to-month until KAM receives 30 days’ written cancellation (email or portal submission).
  • Tuition during the notice period is still due, even if lessons are not attended.
  • Tuition is non-refundable once the billing period begins.
  • Past-due balances may result in suspension of lessons until current.
  • Families authorize KAM to charge stored payment methods for tuition and fees.
  • Families are responsible for collection costs, including attorney’s fees, if accounts go into default.

Non-Solicitation of Instructors

Families agree not to hire or solicit KAM instructors for outside lessons or services during enrollment and for 12 months after withdrawal. All instruction must be scheduled and paid through KAM. Breach may result in termination and liquidated damages equal to six (6) months of tuition.

Code of Conduct & Parent Responsibilities

Students must arrive on time, prepared, and respectful. KAM may terminate enrollment for repeated disruptive behavior. Parents/guardians are responsible for tuition, student readiness, and safe drop-off/pick-up for minors.

Communication Policy

All scheduling, billing, and policy questions must go through the Academy office. Direct contact with instructors outside of lesson content is discouraged.

Holidays & Closures

KAM observes holidays and closures as published on the Academy calendar. In cases of severe weather or emergencies, lessons may shift online or be rescheduled.

Force Majeure

KAM is not liable for cancellations caused by events beyond its reasonable control, including weather, natural disasters, or government orders.

Dispute Resolution & Venue

Parties will first attempt to resolve disputes in good faith. If unresolved, legal actions must be brought in Knox County, Tennessee, under Tennessee law.

Entire Agreement & Updates

These Enrollment Policies, together with the Enrollment Form, represent the entire agreement between the student/family and KAM. Policies may be updated with 30 days’ notice. Continued enrollment after that date constitutes acceptance of the updated policies.

Student & Parent Code of Conduct

We strive to create a safe, respectful, and inspiring learning environment. By enrolling at Knoxville Academy of Music (KAM), students and families agree to the following standards:

For Students

  • Attendance & Punctuality: Arrive on time for lessons, rehearsals, and events. Repeated lateness may shorten lessons without refund.
  • Preparedness: Bring required books, instruments, and materials; complete practice assignments.
  • Respect: Treat instructors, staff, students, and facilities with courtesy. Disruptive, disrespectful, or unsafe behavior may lead to dismissal.
  • Care for Facilities & Equipment: Use rooms and equipment responsibly. Intentional damage may be billed to the family.

For Parents/Guardians (of minors)

  • Support & Communication: Encourage practice and direct scheduling/billing/policy questions to the office (not instructors).
  • Lesson Environment: Please do not interrupt lessons unless invited; avoid coaching/pressuring during lessons.
  • Respect for Staff: Aggressive, hostile, or harassing behavior is not tolerated and may result in termination of enrollment.
  • Drop-Off & Pick-Up: Ensure timely and safe arrival/departure; supervise students outside of lesson times.

For All Families

  • Commitment to Policies: Follow tuition, absence, recital, and media policies in the Enrollment Agreement.
  • Non-Solicitation of Instructors: Do not hire or solicit KAM instructors outside Academy programs during enrollment and for 12 months after withdrawal. All instruction with KAM instructors must be scheduled and paid through KAM.
  • Zero Tolerance for Harassment: Bullying, discrimination, or harassment is prohibited and will result in disciplinary action.

Consequences for Violations

  • Minor issues may receive a verbal or written warning first.
  • Repeated or serious violations may lead to suspension or termination of enrollment without refund.
  • Families may be held financially responsible for damage or misconduct.
